Today, paper based files are a Risk Management issue. They are costly and time consuming to maintain and take up valuable space. We can provide you with a customised, simple to use EDM (electronic document management) system that will allow you to scan your physical documents into pre set folders and document types. You can, of course, store all standard format electronic documents without the need to scan. These will all then be accessible in our secure cloud storage facility.
Use your own scanner or we can provide a scanning service.
You can use a relevant scanner you purchase to convert your paper documents and store them yourself in the system we build for you. Or we can provide a bureau service to convert originals of all types and sizes, from invoices, to quality and HR documents, in colour, black and white and up to A0 (drawing size) using our high speed document scanners and software. We will store the information directly into your EDM system using agreed indexing.
Control your HR processes from recruitment to employee self service
Today's fast changing HR environment and regulation means that paper based files in locked cabinets are no longer practical. With our secure HR solution you can record and manage the whole HR progression from initial recruitment to employment, with all relevant documents to support the process. Store scanned or electronic format documents with the options to bring back for review or deletion, to meet company policy.
Self Service and Time Log options available
In addition to the main HR system, there is a Self Service module option, that includes a basic timesheet function, allowing users to record on screen their attendance hours providing data that can be used for payroll systems. Staff can also submit Leave and Change of Details requests, with customised workflow approval, and they have access to team or whole company holiday information. The package also includes a staff rota facility that allows the import and publishing online of agreed schedules.
Lastly there is an on screen Time Log system, that can be added to the Self Service module, where staff log in and out by time type for full accuracy.
Control over your expense claims
Expense management systems still often revolve around paper forms, spreadsheets and lots of receipts. With our easy to use cloud based application users fill out on screen forms, scan relevant receipts via scanner or mobile phone camera, then submit for approval via customised workflow. Users can complete using lap top, net book or tablet without having to visit head office, to get justified claims passed and paid! And our expense management application can be integrated with our full HR system.
Users submit and monitor their own claims
Claims for car mileage and all forms of expenses are built up using easy to use on screen templates. When complete and ready, submitted claims are sent via workflow for approval. Users can monitor the status of their claims at any time. Once approved the user will receive an email or SMS message advising them that a claim has been approved.

All our solutions feature our signature colour icon design. This means that not only are they usable by all standards of employees, but full functionality is available on all devices tablet size upwards. For some solutions e.g. purchase order and invoice approval - smart phone users will have log in and out functions and access to their tasks so orders or invoices can be approved on the move.
